ASSET MANAGEMENT
Taking care and supervising your rental property is the most important function we perform. The management fee charged, expressed as a percentage of all rents collected cover the day-to-day management and supervision of your property under our professional care.

Management Process

  • Attend to landlord client correspondence and communication.

     

  • Attend to daily tenant telephone, email, front office and fax inquiries.

     

  • Disburse and manage your rental monies through our trust account.

     

  • Key management and security for viewings, all inspections and tradespeople.

     

  • Copying/scanning of creditor invoices.

     

  • Rent collection and rent control early intervention.

     

  • Correct and prompt serving of all legislative legal forms.

     

  • Lodging court documents.

     

  • Attending court hearings where required & attending to further action as required.

     

  • Preparing monthly statements for the owner and collating support information.
  • Paying of vendor accounts.

     

  • Arrangement of special utility readings when required.

     

  • Paying and recovery of utilities from tenants, when necessary.

     

  • Coordinating vendor quotes and repairs with regular follow-up.
  • Paying creditors property expenses, on behalf of landlord clients.

     

  • Conducting regular rent reviews in-line with market conditions.

     

  • Serving rent increase notices on a tenant in-line with legislative requirements.

     

  • Preparation of Lease renewals.

     

  • Processing notices to vacate and confirmation with tenants.

     

  • Liaison with insurance companies as required.


LEASING
The leasing process ensures the securing and placement of a new tenant for your rental property. The Leasing Fee amount is based on the amount of rent received for the property and is only charged when a new tenant is secured.

Leasing Process

  • Arranging and taking of marketing photographs of the property.

     

  • Creating a marketing script with the property details.

     

  • Uploading of the property marketing script, with various photos to property search websites.

     

  • Showing properties with prospective tenants.

     

  • Answering tenant enquiries and issuing application forms.

     

  • Careful ​Risk Based scoring of tenant credit, income and residential history details.

  • Transfer of utilities (if applicable)

  • Tenant screening: background check, credit check, payment history.

  • Checking the application against the tenant internet default database.

     

  • Tenant liaison and confirmation of a successful/unsuccessful application.

     

  • Preparation of the new tenant lease.

  • Collection of tenants’ renters insurance documentation. (if applicable)

     

  • New tenant Move-in Inspection, issue and explain fully the main tenant obligations, Lease, Security Deposit, property condition report, and issuing of keys.


Lease Renewal Process

This fee is applied when the lease is extended for a further term with an existing tenant. 

  • Landlord consultation for lease renewal suitability before a lease renewal is approved.

     

  • Lease renewal initialed and signed with tenant.

     

  • Tenant approached for their intention to renew lease, and negotiation of terms and increased rent if applicable.

  • Copy of lease renewal is issued to the tenant and sent to landlord.

ONBOARDING

Onboarding Process
This is a “once off” fee. A highly detailed Property Condition Report is prepared prior to the commencement of management services. Introduction to Owner and Tenant portals for the automated services offered by GBM. Owner portal consist of maintenance request, rental collections, profit & loss statement, prospect funnel for renters, recent tenant request, delinquent leases, and vacancies. Tenant portal consist of checking rent balance, making payments, submitting maintenance request, obtain rental insurance, and important communication/announcements.

A fully detailed description of both the interior and the exterior of the property are recorded. This report also includes ample photographs of both the interior and exterior of the property.

Inspections
The Move-in Inspection is conducted at the beginning of tenancy. This allows us to monitor the general condition of the property, keeping the condition as well maintained as possible and keeping your asset value maximized. The Move-out Inspection is conducted when the tenant surrenders of the keys.

Move-In Process

  • Create a room-by-room written report detailing tenant performance, criticisms, repairs, concerns and recommendations for improvement to the condition of the premises.

  • Tenant feedback on performance.

  • Tenant follow up of unsatisfactory items identified with a further inspection if required.

  • Issuing of original written report to the landlord.

Move-Out Process

  • All items from the original property condition report are reviewed

  • Any tenant neglect, damage and cleanliness issues are noted in writing, (allowing wear and tear on the property).

  • Necessary vendors are dispatched to correct any issues

  • All Security Deposit charges are categorized on the Disposition Letter

  • Refund the balance of the Security Deposit to the tenant.

  • Update the Property Condition Report for the next tenancy.

The Semi-Annual (mid-lease) Inspection Fee
The Semi-annual Inspection is conducted at the mid-point of tenancy. This allows us to monitor tenant compliance with all lease terms, the general condition of the property, keeping the condition as well maintained as possible and keeping your asset value maximized.

  • Create a room-by-room written report detailing tenant performance, criticisms, repairs, concerns and recommendations for improvement to the condition of the premises.

  • Tenant feedback on performance.
